Preparing for Year-End: Practical Steps to Stay in Control
November often marks the start of the year-end rush. Deadlines draw closer, clients want matters finalised and lawyers are balancing immediate priorities with plans for the year ahead.
For consultant solicitors, staying organised is about more than clearing the to-do list. It means keeping clients informed, managing risk and making time to prepare for a strong start to the new year.
Here are five practical steps to help bring some structure to the busiest time of the year.
1. Review your outstanding matters
Take 30 minutes to review every active matter and identify what needs to happen before the end of the year.
Ask yourself:
- Which matters have critical deadlines before the break?
- What can realistically be completed this year?
- Are there any outstanding instructions, documents or client decisions holding things up?
- What needs to be carried forward into January?
Action: Create a simple list of matters, next steps, deadlines and anything you are waiting for. Prioritise by urgency, risk and client impact, rather than simply working through tasks in the order they arrive.
2. Get ahead of client expectations
A quick update now can prevent unnecessary pressure later. Clients may not know which matters are likely to conclude before the break, so clear communication is essential.
Ask yourself:
- Have I updated every client whose matter may be affected by year-end?
- Are there any delays or dependencies I need to explain?
- Have I set realistic expectations about timings and next steps?
Action: Identify your five most time-sensitive matters and send a brief, proactive update to each relevant client. Confirm what happens next, who needs to act and any important dates.
3. Protect time for focused work
A busy inbox can make it difficult to concentrate on complex legal work. Constantly switching between tasks can also make the workload feel more overwhelming.
Ask yourself:
- Which tasks require uninterrupted concentration?
- What can be delegated, scheduled or dealt with more efficiently?
- Am I allowing enough time for urgent work that may arise unexpectedly?
Action: Block out focused time in your diary for priority matters. Group routine administration together, where practical, and leave some contingency for unexpected client demands.
4. Check the business behind your practice
Year-end is also a useful opportunity to look beyond individual matters and review how your practice is performing.
Ask yourself:
- Are invoices and work in progress up to date?
- Are there any outstanding client payments to follow up?
- Which client relationships should I reconnect with before the new year?
- What has worked well in my practice this year, and what could be improved?
Action: Set aside an hour to review your finances, outstanding billing, client relationships and business priorities. Identify three practical actions that will help you start January in a stronger position.
5. Make a realistic plan for January
It is tempting to focus entirely on getting through December. However, a little forward planning can make the return to work far more manageable.
Ask yourself:
- What will need my attention in the first week back?
- Are there important client meetings, transactions or deadlines to schedule now?
- What is one change that would make my working life more effective next year?
Action: Before finishing for the year, prepare a short January action list, diarise key dates and make sure your files and task lists clearly record the next steps.
Finish the year well
Being organised does not mean completing everything at any cost. It means understanding what matters most, communicating clearly and making deliberate decisions about where your time and attention are needed.
At Nexa Law, we recognise that every consultant lawyer has their own clients, commitments and priorities. Having the right professional infrastructure and the freedom to manage your practice can help you approach busy periods with greater control.
A little planning now can make a meaningful difference, helping you finish the year on a strong footing and return ready for what comes next.
